Move or copy files automatically on Windows 11

Move or copy file puts a file or folder somewhere else, either moving it or leaving the original and making a copy. It is the workhorse behind download sorting, archiving and backup routines.

How it works

  • Choose the item, the destination folder, and whether to move or copy it.
  • The destination can be a full path, or just a name like Archives, which means a folder next to the item; that short form can't reach outside the item's own folder.
  • If the folder already has something with that name it can skip, overwrite (files only), or add a number such as report (2).pdf.
  • Advanced options give the item a new name as it lands and create the destination folder when missing, which is on by default.
  • Copies appear under their real name only once complete, and a folder or download trigger watching the destination won't fire for the routine's own move.

Routines that use it

Sort finished downloads

When Download finished sees a .zip, move it into Downloads\Archives so your Downloads folder stays clear.

Back up a save folder

On a schedule, copy a game's save folder to a backup drive, renaming it with today's date from Format date.

File new scans

A Folder changed trigger on your scanner folder moves each new PDF into a Papers folder in Documents.

Good to know

  • A file that another app has open can't be moved until it is released; the step can be retried.
  • A folder is never overwritten, only files.

Questions

How do I automatically move downloaded files to another folder?
Use the Download finished trigger with a Move or copy file step. Set the destination to a folder, or just a name like Archives to make a folder next to the download.
What happens if a file with the same name is already there?
You choose: skip it, overwrite it, or add a number to the new file's name. Adding a number is the default.
Can I undo a move?
Yes. Each move is recorded, and Undo file moves on the run's page puts items back where they were, as long as their old spot is still free.
