How to set up your PC for a Zoom or Teams meeting in one step

KeyRoutines' free Meeting Setup template runs on a hotkey (or when an app starts using the mic). It uses Media control to pause music, Open app and Open URLs for the meeting, Set default audio device and Mute or unmute for the headset and mic, Open file or folder for notes, Apply layout, and Quiet mode.

Steps

  1. 1

    Open the template

Add Meeting Setup and choose your meeting app. Its Hotkey trigger is Ctrl+Alt+M, and its Mic or camera in use trigger can start it when a call begins.

  2. 2

    Quiet the music

Media control pauses whatever is playing.

  3. 3

    Open the meeting

Open app starts Zoom or Teams and waits for its window; Open URLs opens your meeting link if you have one.

  4. 4

    Get your audio right

Set default audio device moves calls to your headset and Mute or unmute makes sure the mic is on.

  5. 5

    Notes, layout and quiet

Open file or folder opens your notes, Apply layout puts the meeting beside them, and Quiet mode holds notifications.

Tips

  • Turn on the template's Mic or camera in use trigger to run it automatically when the meeting app starts using the mic (marked Experimental).

Questions

Can it start from my calendar?
Start it from the hotkey, or turn on the Mic or camera in use trigger so it runs when the meeting app starts using your microphone.
Does it join the meeting for me?
It opens the meeting link in your browser, which most meeting apps turn into a join. You still click any join button the app shows.

Blocks this routine uses

Trigger · HotkeysFree

Hotkey

Hotkey starts a routine when you press a keyboard shortcut or mouse button. It's the most common way to run a routine, from a single app launcher key to a whole streaming setup on one combination.

Trigger · DevicesFree

Mic or camera in use

Mic or camera in use starts a routine when an app begins or stops using your microphone, camera, or either. It's the automatic way to set up for a meeting the moment it starts.

Step · MediaFree

Media control

Media control sends play, pause, next, previous or stop to whatever is playing, or to a player you name. People use it to pause music for calls, resume it after games, and give keyboards without media keys a set of their own.

Step · AppsFree

Open app

Open app starts a program, a Store app, a shortcut or a game from your library. It is the first step of most setup routines, from a morning work session to a full streaming setup.

Step · BrowserFree

Open URLs

Open URLs opens one or more web pages in your default browser, or in a chosen browser and profile. It is the quickest way to bring up the same set of pages every time, such as your work dashboards or a game's guides.

Step · AudioFree

Set default audio device

Set default audio device makes a playback or recording device the one Windows uses. People run it to move sound to a headset when gaming or a call starts, and back to speakers afterwards.

Step · AudioFree

Mute or unmute

Mute or unmute silences or restores the master output, the default microphone, an app or one specific device. It is the go-to block for a system-wide mic mute key or for silencing the PC at night.

Step · FilesFree

Open file or folder

Open file or folder opens something on your PC as part of a routine. Use it to bring up today's notes, a project folder, or the file a trigger just found.

Step · WindowsFree

Apply layout

Apply layout puts several windows on their monitors in one step, and can open apps that aren't running yet. It's the step behind "one key and my whole workspace is set up".

Step · NotificationsFree

Quiet mode

Quiet mode turns KeyRoutines' own quiet mode on, off, or the other way round. It's made for Gaming Mode and focus routines, so KeyRoutines doesn't pop up while you're busy.
